SCANDAGRA cares about the protection and privacy of your personal data and, in order to ensure the lawful, fair and transparent processing of your personal data, with this notice SCANDAGRA aims to inform you about ensuring your privacy and help you understand how and what your personal data is processed and what rights you have in relation to it.

This information notice describes how the personal data of potential, existing customers and/or partners who intend to use, use, have used or are in any other way related to the products and/or services provided by SCANDAGRA is processed.

For what purposes and what data does SCANDAGRA process?

For relationship management, including marketing of products and services:
name, surname, address, telephone number, e-mail.

To conclude and properly execute product and/or service contracts:
name, surname, address, telephone number, e-mail address, personal code, copy of personal document, copy of farmer’s certificate, copy of plant protection user certificate, VAT payer code, if the person is a VAT payer, current account number and bank name and code, information related to the farm (crop areas, copies of land ownership documents, copies of crop declarations), contact details of the person handling the accounts (if provided), credit rating.

On what grounds are personal data processed?

Personal data is processed for the following purposes:
– in order to conclude and/or perform the concluded contract.
– on the basis of consent.
– on the basis of SCANDAGRA’s legitimate interest (to maintain relationships, ensure fraud prevention).

Who do we provide personal data to?

Personal data, in accordance with the requirements of legal acts, may be provided to the following data recipients (their categories):
– data center and cloud computing service providers.
– software suppliers and software maintenance personnel.
– debt collection companies.
– competent state institutions.

How long do we store personal data?

Personal data processed for the purpose of maintaining relationships with potential, existing customers and/or partners is stored for 3 years from the end of the relationship.
Personal data processed for the purpose of concluding and properly fulfilling product and/or service contracts is stored for 10 years from the end of the relationship.
In all cases, we store personal data for no longer than is necessary for the purposes for which it was collected.

What are your rights?

You have the following rights:
– to access the personal data we process;
– to request correction of the data

– to request erasure of personal data; – to request restriction of data processing;
– to request portability of personal data;

Privacy policy for processing candidates’ personal data

 

In this Privacy Policy for the Processing of Candidates’ Personal Data (hereinafter referred to as the Policy), you will find detailed information about the processing of candidates’ personal data by UAB “SCANDAGRA” (hereinafter referred to as the Company or us), about the purpose, what your data is processed, from whom it is received and to whom it is transferred, and how long it is stored. The Policy also provides information about your rights and their implementation.

We ask you to provide only relevant and valid information and not to indicate any data that is considered sensitive personal data (e.g. data about your health status or political views) or other data that is not necessary to assess your suitability for the duties.
This information is important, so we hope that you will read it carefully.

What data do we process about you and why?

When conducting selections for vacant positions in the Company and evaluating your candidacy, we process the following data:

• contact and identification data – name, surname, address, telephone number and e-mail address.
• data confirming education – educational institution, period of study, acquired education and/or qualification, information about professional development (training attended, certificates acquired), information about language skills, information technology, other competencies, other information specified in documents confirming education, CV, cover letter and/or other candidacy documents.
• Work experience data – previous jobs, period of work, duties, responsibilities and/or achievements, other information specified in the resume, cover letter and/or other application documents.
• recommendations and employer feedback data – data of the recommending or providing feedback person, their contact information, recommendations, and content of the feedback.
• selection assessment data – interview summary, insights and opinions of the person(s) conducting the selection, testing results.
• special categories of personal data – data about health, other special categories of personal data, if there is a special requirement to comply with the requirements set out in the legal acts of the Republic of Lithuania.

On what lawful basis do we process your data?

We process your data based on your consent, i.e. we consider your consent to process the data provided in your CV, cover letter and/or other application documents to be received when you submit your CV, cover letter and/or other application documents to us.

If we receive information about your application from employment agencies, job search online portals, career social networks and/or other entities providing job search, selection and/or mediation services, we presume that you have received all necessary information about the processing of your data and have given your consent to the relevant entity providing such services to process your data, which also includes the right to transfer your data to us.

We will collect your personal data from other sources only after receiving your separate consent. For example, we will only check your recommendations or request feedback from your employer if you give us your consent to contact your named employer and/or other person and receive feedback about you.

If you have been invited to further selection stages (e.g., a job interview), but after the selection process we do not select you for the relevant job position, we will process your personal data in accordance with our legitimate interest – analysis of the selection process, administration, and will destroy it after the retention period.

From what sources do we collect your personal data?

We receive your data directly from you – when you respond to our job advertisement, submit your CV and other application documents.

We may also receive information about your application and documents from entities providing job search, selection and/or mediation services. We may also receive certain information about you from third parties, e.g. persons recommending you, current or former employers.

How long do we store your data?

In the event that we do not select your candidacy for further selection stages, we will store your data for no longer than 1 year from the end of the selection for your chosen job(s). In the event that you have been invited to a further selection stage (i.e. participated in an interview) or have agreed to have your data stored for other future vacancies, we will store your data for no longer than 3 years from the end of the selection for your chosen job(s) or your consent.

Upon the expiry of the period for processing and storing your data set out in this Policy, we will destroy your data or securely and irreversibly anonymize it.

In what cases and to which third parties do we disclose your data?

We may transfer your data to third parties for processing:

• who assist us in the selection of candidates or who provide us with services related to selection and candidate assessment. Such persons may include personnel selection and/or assessment service providers.
• who assist us with internal administration. Such parties may include database software providers, database administration service providers, data center, hosting and cloud service providers.
• to companies in our group of companies (which includes Scandagra Management Services UAB, as well as other companies listed on the website http://scandagra.com/), which, in accordance with the procedures in force in our group of companies, participate in the processes of evaluating candidates for management positions and (or) making career decisions.
• to competent government or law enforcement agencies, such as the police, law enforcement authorities or supervisory authorities, but only upon their request and only when required by applicable law or in cases provided for by law.

In each case, we provide only as much data as is necessary to fulfill a specific order or provide a specific service. The data processors we use may process your personal data only in accordance with our instructions and may not use it for other purposes or transfer it to other persons without our consent. In addition, they must ensure the security of your data in accordance with applicable law and written agreements concluded with us.

In which territories and jurisdictions do we process your personal data?

We process your personal data within the European Union. We currently have no intention of transferring your personal data to processors or recipients in third countries.

Your rights

You have the following rights:

• the right to access your personal data processed by us: You have the right to receive our confirmation as to whether we are processing your personal data, as well as the right to access your personal data processed by us and information about the purposes of data processing, categories of data processed, categories of data recipients, data processing period, and data sources.
• the right to correct personal data: If the data provided to us in your candidacy documents has changed or you believe that the information we process about you is inaccurate or incorrect, you have the right to request that this information be changed, clarified or corrected.
• Right to withdraw consent: You are free to object to your data being included and further processed in the candidate database after the selection process, and you can also withdraw your consent at any time and request the deletion of your data. Withdrawing your consent will not prevent you from participating in other selection processes.
• The right to erase data (right to be forgotten): Under certain circumstances specified in data processing legislation (when personal data is processed unlawfully, the basis for data processing has disappeared, etc.), you have the right to request that we erase your personal data.
• The right to restrict data processing: Under certain circumstances specified in data processing legislation (when personal data is processed unlawfully, you dispute the accuracy of the data, you have filed an objection to data processing based on our legitimate interest, etc.), you have the right to restrict the processing of your data.
• the right to data portability: you have the right to transfer the data that we process using automated means to another data controller. We will provide you with the data you wish to transfer in a format commonly used in our systems and in a machine-readable format, and if you so request and if technically possible, we will transfer the data directly to another data controller indicated by you.
• the right to file a complaint: If you believe that we are processing your data in violation of the requirements of data protection legislation, we always ask you to contact us directly first. If you are not satisfied with the solution we offer or if you believe that we have not taken the necessary action in accordance with your request, you have the right to file a complaint with the supervisory authority – the State Data Protection Inspectorate, A. In order to protect our candidate data from unlawful disclosure, we will be required to identify you upon receipt of your request to provide data or exercise your rights. For this purpose, we may ask you to provide a document confirming your identity.

Upon receipt of your request to exercise any of your rights and upon confirmation of your identity, we undertake to provide you with information on the actions we have taken in accordance with your request without delay, no later than within one month of receipt of your request.

Depending on the number of requests, we have the right to extend the period for another two months, informing you thereof and indicating the reasons for such extension.

If your request is submitted electronically, we will also provide you with a response electronically, unless this is impossible (e.g. due to the extremely large volume of information) or if you request a response in another way.
